How to Write Effective Action Items

The format of your action items determines whether they get completed. Vague tasks get ignored. Specific tasks get done. Use this formula for every single action item:

[Person] will [specific action] by [specific date]

Example: Sarah will send the revised proposal to Acme Corp by Thursday July 24th

✗ Weak action items

  • • "Someone needs to send the proposal"
  • • "The team will handle the client call"
  • • "We should update the tracker soon"
  • • "Follow up with vendor when possible"
  • • "Check on the delivery by end of week"

✓ Strong action items

  • • Sarah will send the revised proposal by Jul 24
  • • Mike will call the client by Tuesday Jul 22
  • • David will update the tracker by Jul 25
  • • Mike will email vendor re: delay by Jul 22
  • • Sarah will confirm delivery dates by Jul 23

How to Send Action Items to Your Team

Filling in the template is only half the job. How you send it determines whether people actually act on it.

01

Send personal emails — not a group summary

The biggest mistake managers make is sending everyone the full action item list in one email. Ravi scrolls through six items looking for his name, gets distracted, and closes the email. Send each person only their specific tasks. Personal emails have dramatically higher response rates.

02

Send within two hours of the meeting

Context fades fast. An action item email sent the same afternoon is significantly more effective than one sent the next morning. Make it a rule — action item emails go out before you start any other task after the meeting.

03

Use email, not Slack or WhatsApp

Slack messages get buried in minutes. WhatsApp is informal and easy to dismiss. Email creates a formal record, sits in a searchable inbox, and signals that this is an official task — not a casual request.

04

Make it easy to confirm completion

Include a simple way to mark the task done — a reply request, a button, or a link. The less friction involved in confirming completion, the more likely it is to happen.

05

Set automatic reminders

Decide in advance when reminders go out — for example Day 3 and Day 7 for anyone who has not confirmed completion. Manual reminders are inconsistent. Automatic reminders run every time without you thinking about it.

Automated email-based tracking (Kriyafy)

Pros

No new habit for your team, automatic reminders, real-time dashboard, weekly reports

Cons

Paid tool — starts at $29/month

Frequently Asked Questions

What is a meeting action item?+

A meeting action item is a specific task that was assigned during a meeting — with a clear owner, a defined deliverable, and a deadline. It is different from a discussion point or a decision. An action item requires someone to do something after the meeting ends.

What should a meeting action item include?+

Every action item needs three things: who is responsible (one specific person, not "the team"), what exactly needs to be done, and by when. Without all three, the task is likely to be forgotten or completed incorrectly.

How do you track action items from meetings?+

The simplest approach is a shared spreadsheet using the template in this article. The most effective approach is an automated tool like Kriyafy that sends each person their tasks by email, tracks completion automatically, and sends reminders to non-responders.

Who is responsible for tracking meeting action items?+

The meeting organiser or a designated note-taker captures action items during the meeting. The organiser is then responsible for sending them out, following up, and tracking completion. With an automated tool, the follow-up and tracking happen without manual effort.

What is the difference between meeting minutes and action items?+

Meeting minutes are a full record of what was discussed and decided in the meeting. Action items are the specific tasks that need to happen as a result. Minutes are documentation — action items are accountability. Both are important, but action items are what drive actual results.

How do you write action items after a meeting?+

Use the formula: [Person] will [do what] by [when]. For example: "Sarah will send the revised proposal to Acme Corp by Thursday July 24th." Clear, specific, and unambiguous. Avoid passive language like "the proposal needs to be sent" — always name the person responsible.

The Bottom Line

A meeting action item template is the simplest possible first step toward meeting accountability. Copy the template from this article into a Google Sheet and use it after your very next meeting. The improvement in follow-through will be immediate and noticeable.

When you are ready to go further — and eliminate the manual template, copying, and follow-up entirely — Kriyafy automates the full process from note-pasting to completed tasks. Free 14-day trial at kriyafy.com.
