A blank page and good intentions are not a system. Most meeting minutes never get written consistently because there is no ready-made structure to fill in — so people either skip it or reinvent the format every time.
Below is a free, ready-to-use meeting minutes template. Copy it into Google Docs, Notion, Word, or any tool you already use, and use the exact same structure for every meeting.

Meeting
A short, searchable title — "Q3 Product Review," not just "Meeting." Makes it easy to find later in an archive.
Date, time, location/platform
Basic context that seems obvious in the moment but is easily forgotten months later when someone searches the archive.
Attendees / Absent
Who was there, and who was invited but missed it. Absent members still need to receive the minutes.
Decisions made
One clear sentence per decision — the conclusion, not the debate that led to it.
Action items
The most important section. Every line needs exactly one owner and one specific date — never "the team" or "soon."
Items deferred
Anything raised but not resolved. This becomes the starting point for the next meeting's agenda.
Next meeting
Date, time, and location, if already known — saves a separate calendar-invite hunt later.
Here is the same template completed for a real meeting, so you can see the level of detail to aim for.

Paste your rough meeting notes into Kriyafy. AI extracts the decisions and action items automatically, sends personal task emails to each owner, and reminds anyone who has not completed their task.
Filling it in live — rather than reconstructing from memory afterward — is far more accurate and much faster.
If a task has no owner filled in, it will not get done. Stop and ask "who owns this?" before moving to the next agenda item.
Consistency makes minutes faster to write and easier to scan later — readers know exactly where to look for decisions versus action items.
A perfectly filled template sent two days later is far less useful than a slightly rougher one sent within a couple of hours.
At minimum: meeting title, date, attendees, key decisions, and action items with a named owner and deadline for each. Optional but useful additions include items deferred to the next meeting and the date of the next meeting.
It works well for most team meetings, client calls, and project reviews. For highly formal settings like board meetings, you may need to add sections for motions, votes, or quorum — but the core structure of attendees, decisions, and action items still applies.
Both. Capture attendees, decisions, and action items live during the meeting — do not rely on memory. Then clean up the language and formatting within 30 minutes afterward, before sending it out.
Somewhere searchable and consistent — a dedicated Google Drive folder, a Notion database, or even a labeled email folder. The exact tool matters less than being consistent, so past minutes are easy to find later.
Yes. Tools like Kriyafy let you paste your raw, unstructured notes and automatically extract the same fields — decisions, action items, owners, deadlines — without manually typing them into a template every time.
A good meeting minutes template removes the biggest barrier to consistent documentation — having to decide what to write down. Copy the template above, use it for every meeting, and you will have a reliable, searchable record without reinventing the format each time.
If you would rather not fill this in by hand every week, Kriyafy extracts the same fields automatically from your raw notes and sends task emails to each owner — free 14-day trial at kriyafy.com.
